Notification Requirement Under Your Policy
A notification of a circumstance or claim will need to be made to your insurer in accordance with the conditions of your policy. However, we always recommend that you discuss the incident with us first. Except in the event of a cyber incident which should be notified immediately via the incident response details below or on your policy documentation.

Most policy wordings will stipulate you are required to seek their written consent prior to incurring any costs and expenses. To avoid any issues, talk to ourselves and we can offer guidance on the next best steps.

Obligation Checklist
Following an incident, circumstance or claims for compensation, there are several considerations to take. Failure to protect the insurer's interests, delays in notification, or failure to cooperate, could prejudice your cover and entitle them to repudiate a claim.
Notify your Insurer
Claims and circumstances should be reported as soon as practicable. If you policy is provided on a 'claims-made basis' you will need to ensure the circumstances are notified prior to the policy expiry date.
Do Not Admit Liability
Do not accept responsibility, admit liability, attempt to settle, or make or promise any payment, without insurers agreement.
Mitigate Further Loss
You have a duty to take reasonable steps to prevent further damage or loss where possible and safe to do so. You must not take any action which in any way increases the insurer’s exposure.
Preserve Evidence
Keep all relevant documents, emails, photographs, CCTV footage, contracts, reports, and all correspondence, connected to the incident.
Cooperate with Insurers
Insurers and loss adjusters may request additional information, site access, records, or witness statements during the investigation.
Supporting Information
To support your claim, insurers will be seeking clear and accurate information that will evidence the loss or claim under the policy. Keeping organised records and preserving evidence can help reduce delays, support your position, and improve the overall handling of the claim.

When should we notify a claim?
You should notify a claim or circumstance as soon as reasonably practicable. Early notification is particularly important for Professional Indemnity and Cyber policies, to mitigate the potential loss.
What is a “circumstance” under a PI policy?
A circumstance is an issue, concern, complaint, or event that could reasonably give rise to a future claim under your policy, even if no formal allegation has yet been made.
What happens after we notify a claim?
The insurer will review the notification, may appoint legal counsel or loss adjusters, and assess whether the policy responds to the matter.
Will my premiums increase after a claim?
Possibly. Future premiums may be affected depending upon your paid claims history. Notifying circumstances as a matter of prudence should not impact your renewal premium.
What should we do after a cyber attack?
Contact your cyber insurer immediately, isolate affected systems where possible, preserve evidence, and seek professional support via your insurer before attempting any system recovery.
What happens if my claim is declined?
If cover is declined, we can review the insurer’s position, investigate whether there are grounds for challenge or alternative recovery options available.
